Setup and Configuration Guide MaxFlow HR System
A practical, illustrated guide to setting up the system, from logging in and building the organizational structure through to configuring users, attendance and leaves.
Authorized users will be provided with their system access credentials, including the
system URL, username and password.
The MaxFlow team will also be in touch
whenever needed to make sure you can access the system easily and start using it right
away.
Logging In to the System
Setting up MaxFlow HR starts at your company's login page. Each company has its own login URL (subdomain), and you sign in using the Administrator account or a user account that holds the permissions required to configure the system.
Step 1.1 — Opening the System URL
Open your web browser, type your company's system URL into the address bar — for example hr.erpmaxsolutions.com — then press Enter to go to the login page.
Login page
Enter your username and password, then click Login to sign in to the system.
Starting point — the home screen
Once you sign in successfully, the system home screen (Workspace) appears. From here you can reach the different modules of the system through the menu icon ☰ at the top right.
Bookmark the system URL so you can reach it easily later. Every user signs in through the same URL using their own account.
Opening the Human Resources Module
The Human Resources module contains all HR settings and processes, including departments, designations, employees, attendance and leaves.
Step 2.1 — Opening the Human Resources module
After opening the module list through the ☰ icon at the top right of the screen, select Human Resources. All HR-related sections and options will appear, such as Employee, Attendance, Leaves, Payroll, Shift Management and others.
Key sections inside the Human Resources module
| Employee | Managing employee data, including department and designation. |
| Attendance | Recording and tracking daily attendance. |
| Leaves | Managing leave types, policies and leave balances. |
| Shift Management | Setting up shifts and assigning them to employees. |
| Payroll | Managing payroll; it is activated once the core system settings are complete. |
This is the first way to reach the Human Resources module, and you will need it in many of the steps that follow in this guide. There is also a second, faster way to reach it from anywhere in the system, which is described later (see the note here).
Setting Up the Organizational Structure
Before you start adding users and employees, you need to set up the company's organizational structure. This includes departments and designations, along with other reference records that are reused later when creating an employee, such as Branch, Holiday List and Shift Type.
The Department defines the department an employee works in, such as Sales or Accounting, while the Designation defines the employee's job title, such as Sales Representative or Accountant.
A complete example — the data required for an employee
| Department | Customer Service |
| Designation | Product Manager |
| Branch | Al-Bireh Office |
| Holiday List | Friday and Saturday weekend |
| Shift Type | Morning Shift |
Creating Departments
DepartmentDepartments are used to organize the company's administrative structure, such as HR, Finance, Sales, IT, Administration and so on. Setting departments up correctly makes it easy to link each employee to the right department and simplifies data management and reporting later.
Step 3.1.1 — Opening Department
From the Human Resources menu, open Employee and then select Department to reach the department management screen.
Department list
This screen shows all existing departments. To add a new one, click New.
Step 3.1.2 — Entering the department details
In the New Department window:
1. Enter the department name in the
Department field — for example Customer Service — and make sure the correct
company is selected in the Company field.
2. Click Create New to save the
department.
End result — Department Tree
Once the department is saved, Customer Service - HR appears immediately in the department tree. You can click Human Resources at the top of the page to return to the HR module and browse its sections at any time.
Key fields on the Department screen
| Department | The department name that will appear when selecting a department for an employee. |
| Company | The company the department belongs to, which matters especially when managing more than one company on the same system. |
| Group Node | Enable this option only if the department is a parent department that contains sub-departments. |
Second navigation method: You can use the navigation path shown at the top of the page (breadcrumb) to move between system levels. For example, clicking Human Resources takes you straight back to the HR module screen, from which you can move on to the section you need.
Clicking the breadcrumb
You can also click here to open the Human Resources module.
The result after clicking
It opens the same main Human Resources module screen directly.
Creating Designations
DesignationThe Designation defines an employee's job title, such as Software Developer or Finance Manager. A designation is independent of the department, so the same designation can be used across more than one department.
Opening Designation
From the Human Resources screen, under the Employee card, select Designation from the available options.
Adding a new designation
The Designation screen lists the designations that already exist. To add a new one, click New.
Step 3.2.1 — Creating a new designation
In the New Designation window, enter the job title in the Designation field — for example Finance Manager — then click Save.
End result
Once saved, Finance Manager appears in the designation list and becomes available for selection when creating employees.
It is best to set up all designations in advance rather than adding them one by one while creating employee records. This speeds up data entry and system setup considerably.
The Branch (branch) record is created exactly the same way as Department andDesignation (steps 3.1 and 3.2) — search quickly for Branch in the sidebar, click New, and enter the branch name. No extra steps are needed.
Setting Up Attendance
To set up attendance, you first need to create a Shift Type that defines the official working hours and the attendance rules attached to them.
Creating a Shift Type
Shift TypeThe Shift Type defines the official start and end times of the shift, and Auto Attendance can be enabled to calculate attendance automatically from check-in and check-out records.
When setting up your first shift, focus on the essentials: shift name, start time, end time, and Auto Attendance if you use a biometric device. Other settings such as Actual Start/End and Holiday List can be configured according to your company's needs.
Step 4.1.1 — Opening Shift Type
From the Workspace, open the sidebar and select Human Resources. Inside the Human Resources screen, select Shift Management, then Shift Type to reach the list of shift types.
Shift type list
The Shift Type screen shows all shift types currently defined in the system. To add a new one, click New.
Opening the full shift form
From the New Shift Type window, click Edit in full page to open the complete form and finish configuring the shift.
Shift details
In the full form, enter the basic shift information:
1. Name — the shift
name, for example Morning Shift.
2. Start Time — the shift start time,
for example 08:00:00.
3. End Time — the shift end time, for example
16:00:00.
4. Enable Auto Attendance — turn this on if you use automatic
attendance based on check-in and check-out records.
Once the settings are
complete, click Save.
The shift after saving
The shift appears with the status Enabled, with the Enable Auto Attendance option switched on.
Key fields on this screen
| Shift Type Name | The shift name as it will appear when assigning it to employees, for example Morning Shift. |
| Start Time / End Time | The official start and end times of the shift. |
| Actual Start Time | If set, this time is used as the employee's check-in time instead of the actual biometric punch, whenever the punch is earlier than this time. |
| Actual End Time | If set, this time is used as the employee's check-out time instead of the actual biometric punch, whenever the punch is later than this time. |
| Enable Check In Out Notification | Enables notifications to employees when they forget to check in or check out. |
| Day Start Time | Defines the time at which the working day begins for this shift. It is used to assign attendance records to the correct day, especially for night shifts that run into the following day. |
| Enable Auto Attendance | Enable this to calculate attendance automatically from the actual check-in and check-out records. |
When Auto Attendance Is Enabled
Auto Attendance SettingsAs soon as Enable Auto Attendance is switched on, two extra sections appear lower in the form: AUTO ATTENDANCE SETTINGS and GRACE PERIOD SETTINGS FOR AUTO ATTENDANCE, where the fine details of automatic attendance calculation are configured.
Key auto attendance settings
The fields that genuinely need to be configured in the attendance settings are two separate ones: Begin Check-in Before Shift Start Time, which sets how many minutes before the shift starts an employee may check in, andAllow Check-out After Shift End Time, which sets how many minutes after the shift ends an employee may check out. You should also set Regular Hours andWeekly Hours andDays Per Week in line with the working hours and days expected of your employees. In the GRACE PERIOD section, enabling Enable Entry/Exit Grace Period lets you define a grace period for both Late Entry andEarly Exit, so that an employee is only marked late or as leaving early once the defined grace period is exceeded.
Key fields on this screen
| Begin Check-in Before Shift Start Time | Sets how many minutes before the shift starts an employee may check in while the record still belongs to that shift. Example: if the shift starts at 08:00 and the value is 60 minutes, check-in is possible from 07:00 and it is counted against the 08:00 shift. |
| Allow Check-out After Shift End Time | Sets how many minutes after the shift ends an employee may check out while the record still belongs to the same shift. Example: if the shift ends at 16:00 and the value is 60 minutes, check-out is possible until 17:00 and remains linked to that shift. |
| Regular Hours | The standard number of working hours per day. Any hours beyond this figure can be counted as overtime, depending on the system settings. |
| Weekly Hours | The total number of working hours expected during the week. |
| Days Per Week | The number of working days expected during the week for this shift. |
| Enable Entry / Exit Grace Period | When enabled, the system allows a grace period at check-in or check-out, so the employee is not marked late or as leaving early within the defined grace window. Example: if the shift starts at 08:00 and the grace period is 15 minutes, checking in up to 08:15 is not treated as lateness. |
| Late Entry / Early Exit Grace Period | Sets the number of grace minutes allowed for late entry or early exit. This field applies when Enable Entry / Exit Grace Period is switched on. Example: with a value of 15 minutes and a shift starting at 08:00, checking in at 08:10 falls within the grace period, while checking in at 08:16 counts as late. Likewise, if the shift ends at 16:00, checking out between 15:45 and 16:00 falls within the early-exit grace period. |
Setting Up Leave Management
Recommended order: first prepare the holiday list, then define the leave types and their rules, group them into a single policy, set up the leave period, and finally allocate the balance that employees will later draw on when applying for leave.
Setting Up the Holiday List
Holiday ListThe Holiday List is used to define the company's holidays, covering both public holidays and weekly off days. This list is later used to calculate attendance and leaves accurately, since the system excludes these days from actual working days.
Opening Holiday List
From the Human Resources home screen, under the Leaves card, click Holiday List to reach the holiday list management screen.
Creating a new holiday list
In the New Holiday List window, enter a clear name in the Holiday List Name field (for example: Friday & Saturday Weekend), then set the date range using From Date and To Date.
Setting the weekly off
In the ADD WEEKLY HOLIDAYS section, open the Weekly Off dropdown and select the weekly off days your company observes. Repeat the step to add more than one day — for example Friday and Saturday where a Friday–Saturday weekend applies.
Adding the holiday to the list
After selecting the day, click Add to Holidays and the system will automatically add every occurrence of that day within the selected period to the Holidays table.
Saving the holiday list
The Holidays table displays all the automatically added dates. Review the list, then click Save.
Adding a Variable Holiday Manually
such as the Eid al-Fitr holidaySome holidays do not fall on the same date every year (religious holidays, for instance), so they cannot be generated automatically the way weekly offs are. These holidays are added manually, row by row.
Adding a variable holiday manually
Below the Holidays table, click Add Row to insert a new line. Pick the date you
need in the Date column and type the holiday name in the Description column —
for example: Eid al-Fitr.
Repeat the step for every additional holiday
you want to add.
Once all holidays have been entered, click Save.
Key fields on this screen
| Holiday List Name | The name of the holiday list, used when linking the list to a leave period or to employees. |
| From Date / To Date | The start and end dates of the period the holiday list applies to. |
| Weekly Off | The day or days treated as a fixed weekly off within the holiday list, such as Friday, or Friday and Saturday. |
| Add Row › Date / Description | Used to add a specific holiday manually by entering its date and a description or name. |
Create a single holiday list covering the full year from the outset, instead of repeating the setup every few months.
Leave Type
Leave TypeThe Leave Type defines the type of leave and its rules, such as annual, sick or maternity leave. Each type can have its own settings, such as the maximum number of days, carry forward, leave without pay, and how the balance is calculated.
Start with the leave types your company actually uses, such as annual and sick leave, then add any others according to company policy and business needs. There is no need to configure leave types you will not use.
Opening Leave Type
From the Human Resources home screen, under the Leaves card, click Leave Type to reach the leave type management screen.
Leave type list
The Leave Type screen shows the leave types currently defined in the system. To add a new one, click New.
Worked example — Annual Leave
Start by entering the leave type name in the Leave Type Name field — in this example we entered Annual Leave. Then enter a value for Max Leaves Allowed and set the remaining options (Is Carry Forward, Is Leave Without Pay, Is Optional Leave, Allow Negative Balance, Include holidays within leaves as leaves, Is Compensatory) in line with your company policy. When you are done, click Save.
Key fields on this screen
| Max Leaves Allowed | The maximum number of days of this leave type an employee may take within the defined leave period. |
| Is Carry Forward | Determines whether an unused leave balance can be carried forward to the next leave period. |
| Is Leave Without Pay | Marks the leave as unpaid, so the employee is not paid for the days taken under this type. |
| Is Optional Leave | Marks the leave as optional, to be used by the employee as needed — for example certain occasions or optional holidays. |
| Allow Negative Balance | Allows an employee to take leave even when there is not enough balance, which results in a negative leave balance. |
| Include holidays within leaves as leaves | Determines whether holidays falling within the leave period are counted against the leave balance used. |
| Is Compensatory | Marks the leave type as compensatory, used to grant an employee leave in return for working on a holiday or a non-working day. |
When carry forward is enabled — Carry Forward
Carry ForwardWhen the Is Carry Forward option is switched on, an additional CARRY FORWARD section appears, letting you define the rules for carrying an unused leave balance into the next period.
Carry forward settings
Maximum Carry Forwarded Leaves: sets the maximum number of leave days that can be
carried into the next period, for example 21 days.
Expire Carry Forwarded
Leaves (Days): sets how many days carried-forward leave remains valid before it
expires. Example: 730 days, roughly two years based on a 365-day year.
Monthly Accrual (Earned Leave)
Monthly AccrualInstead of granting an employee the full annual leave balance in one go at the start of the year, you can configure Earned Leave so that the balance accrues automatically on a monthly basis.
The recommended configuration
In the EARNED LEAVE section of the Leave Type form:
1. Enable Is Earned
Leave.
2. Under Earned Leave Frequency, select Monthly.
3. Under
Rounding, select 0.5 to round the accrued balance to the nearest half
day.
With this setup, the employee's leave balance accrues gradually on a
monthly basis instead of being granted in full at the start of the year.
Key fields on this screen
| Is Earned Leave | Enables gradual accrual of the leave balance instead of granting the full entitlement at once. |
| Earned Leave Frequency | Sets the accrual frequency. Monthly means the balance accrues each month, which is the recommended setting for leave that accrues monthly. |
| Rounding | Sets how the accrued balance is rounded in each cycle. 0.5 means rounding to the nearest half day. |
When Is Earned Leave is enabled and Monthly is selected, the leave balance accrues according to the monthly cycle instead of being granted in full at once. Make sure you apply the same setting to every leave type your company accrues on a monthly basis.
Sick Leave With Supporting Document
Days Threshold For Supporting DocumentThe Days Threshold For Supporting Document field defines after how many days of sick leave a supporting document, such as a medical report, becomes mandatory.
Sick Leave With Supporting Document
The Days Threshold For Supporting Document field defines after how many days of
sick leave a supporting document becomes mandatory:
0: no supporting
document is required.
1: a document must be attached whenever sick leave is
requested.
2: one day may be taken without a document; a document is required
beyond one day.
3: two days may be taken without a document; a document is
required beyond two days.
In short: the number sets the threshold at
which a supporting document becomes mandatory.
Compensatory Leave
Compensatory LeaveCompensatory leave is leave granted to an employee in return for working on a holiday or a non-working day. Setting it up in the system involves three main steps: creating the leave type, submitting a compensatory leave request, and approving that request.
Creating the leave type
Exactly as with any other leave type: from the Leave Type list, click New.
Enabling the Is Compensatory option
Enter the name in Leave Type Name — for example Compensatory Leave — and make
sure to enable the Is Compensatory option to mark this type as compensatory
leave.
Then click Save.
Opening Compensatory Leave Request
From the Human Resources home screen, under the Leaves card, click Compensatory Leave Request.
Compensatory leave request list
This screen shows all previous requests with their status (Draft or Submitted). To create a new request, click New.
Filling in the request details
In the New Compensatory Leave Request form, select the Employee (creating an
employee is explained later in Step 6), then select the
Leave Type and choose the compensatory leave type you want to use. Next, in the
WORKED ON HOLIDAY section, enter Work From Date and Work End Date to define the
day or period the employee worked during a holiday or non-working day, then
enter a Reason explaining why the compensatory leave is being
requested.
Once you have checked the details, click Save.
After saving, the request stays in Draft status until an authorized person (the HR manager, for instance) approves it by clicking Submit — at which point the compensatory balance is actually added to the employee's account.
Leave Policy
Leave PolicyThe Leave Policy groups the leave types your company applies into a single policy, defining the rules and entitlement for each type. Once configured, the policy can be linked to employees so that the leave settings apply to them.
Opening Leave Policy
From the Human Resources screen, under the Leaves card, click Leave Policy to reach the leave policy management screen.
Alternative route
From the sidebar, open Human Resources, select Leaves, then click Leave Policy to reach the leave policy management screen.
Leave policy list
The Leave Policy screen shows all leave policies already created in the system. To create a new policy, click New.
Building the allocation table
In the Leave Allocations section, add a new row (Add Row) for each leave type, then set the number of days granted for each type according to company policy. Worked example: if your policy grants an employee 14 days of annual leave and 90 days of maternity leave, both values are entered in the rows as shown — Annual Leave and Maternity Leave. These figures are illustrative only; the system does not impose them. Once all leave types and their entitlements have been entered, click Save.
Approving the policy
After saving, the policy appears in Draft status. Click Submit to approve it and make it ready to link to employees.
Additional Allocation Based on Years of Service
Extra AllocationThe Extra Allocation option is used to increase an employee's annual leave balance once they reach a defined number of years of service. For example, if the base entitlement is 14 days per year and rises to 21 days once the employee completes 5 years of service, 7 days are added to the base balance at that point, bringing the total entitlement to 21 days per year.
Opening the row details
In the Leave Allocations table, click the dropdown arrow (▾) at the end of the Annual Leave row to open its additional details.
Filling in the Extra Allocation field
In the Extra Allocation field, enter the years of service and the number of extra leave days in the format year, days. For example, 5,7 means that once the employee completes 5 years of service, 7 days are added to their base annual leave balance. You can enter more than one pair to define further increases at different years of service.
Setting Up the Leave Period
Leave PeriodThe Leave Period defines the time frame (usually a full year) over which leave entitlements and balances are calculated. It is then used as a reference when setting up leave policies and allocating balances.
Opening Leave Period
From the Human Resources home screen, under the Leaves card, click Leave Period to reach the leave period management screen.
Leave period list
This screen shows all periods already defined. To create a new one, click New.
Creating a new period
In the New Leave Period window: set From Date and To Date to cover the year you need, check that the correct Company is shown, and select a Holiday List for Optional Leave where required by your company's settings. Enable Is Active if this is the period currently in force, then click Save.
Key fields on this screen
| From Date / To Date | The full time frame covered by this period, usually one year. |
| Company | The company this period applies to. |
| Holiday List for Optional Leave | Selected where required, according to company settings and the optional leave policy. |
| Is Active | Determines whether this is the period currently approved and in force. |
Granting Leave to All Employees at Once (Leave Allocation)
Grant LeavesOnce the leave period is saved, click the Grant Leaves button at the top of the page to start allocating leave to employees.
The Grant Leaves button
At the top of the Leave Period page, once the leave period is saved, click Grant Leaves to start allocating leave to employees according to the filters you set.
The Grant Leaves window — employee filters and the carry forward option
After clicking Grant Leaves, this window appears. It lets you choose which employees to allocate leave to using the fields under Filter Employees By (Optional). If all filter fields are left empty, the system allocates leave to every employee covered by the leave policy in force for this period. If you want to allocate to a specific group only, fill in one or more filters, such as Branch, so that the allocation is limited to the employees who match all the selected filters together.
Reviewing the result from the dashboard
After clicking Grant Leaves, a Leave Allocation link appears in the DASHBOARD section under Transactions, along with the number of leave allocation records created — 22 records, for example. Click the link to view the leave records and the balances allocated to employees.
The resulting balance list
This screen shows every Leave Allocation record created automatically for employees within the selected leave period, so you can review the balance allocated to each employee.
Key fields in this window
| Employee Grade | Limits the allocation to employees who hold the selected Employee Grade only. |
| Designation | Limits the allocation to employees who hold the selected Designation only. |
| Department | Limits the allocation to employees in the selected Department only. |
| Employee | Allocates to one specific employee only, excluding everyone else. |
| Branch | Limits the allocation to employees in the selected Branch only. |
| Add unused leaves from previous allocations | When enabled (it is on by default), the unused balance from previous leave allocations is carried into the new period's balance, so the employee keeps their remaining days from the past period on top of the new entitlement. When disabled, no previous balance is carried forward and the employee starts the new period with that period's balance only. |
Once you have set the filters you need, click Grant to complete the leave allocation. If you set no filters, the allocation covers every employee included in the leave policy in force for this period.
Adding Extra Balance Later
Add Extra LeavesOnce a leave allocation has been submitted, if you need to grant an employee extra days on an exceptional basis without creating a whole new allocation, you can use the Add Extra Leaves option from within the record itself.
Opening a balance record
From the resulting balance list, click any employee record to open it and review its details.
Opening the add option
This is what a Leave Allocation record looks like once submitted. The key fields
are: Employee and Employee Name — the employee; Department — their department;
Leave Type — the type of leave; From Date and To Date — the period the balance
is valid for. In the ALLOCATION section: New Leaves Allocated — the newly
allocated balance; Unused leaves — the balance remaining from the previous
period; Total Leaves Allocated — the overall total; along with the Leave Period
and Leave Policy linked to the record.
1. Click Menu at the top of the
page.
2. Select Add Extra Leaves from the dropdown.
Setting the extra days
In the Add Extra Leaves window:
1. Set Allocate On — the date from which
the extra balance counts.
2. Enter Number Of Days — the number of extra
days granted.
3. Click Submit.
The carried-forward balance option
If the balance you are adding is carried forward from a previous period, enable
the Is Carry Forward option. It marks the added balance as the result of a carry
forward rather than part of the current period's entitlement.
Example: if
an employee has a balance left over from the previous year that has been carried
into the current period, enable Is Carry Forward when adding that balance.
Viewing Leave Balances for All Employees
Enhanced Leave BalanceThe Enhanced Leave Balance report shows the leave balances of all employees on a single screen, broken down by leave type for each employee. It makes reviewing and verifying balances straightforward, without opening each employee's Leave Allocation record separately.
Opening the report
From the Human Resources home screen, under the Leaves card, click Enhanced Leave Balance.
Filtering the results
You can set Date, Company, Employee, Leave Type, Branch, Department and Designation to display only the data you need. To display all records without applying specific criteria, enable the Show All option.
Key fields on this screen
| Carried Leaves | The leave balance carried forward from the previous period. |
| New Allocated Leaves | The number of leave days allocated to the employee in the current period. |
| Total Leaves | The total leave balance, including both the carried-forward and the newly allocated balance. |
| Used Leaves | The number of leave days actually taken. |
| Pending Leaves | The number of leave days tied to requests still awaiting approval. |
| Leaves Balance | The employee's remaining leave balance after deducting the leave taken. |
Short Leave Application (Hours)
Short Leave ApplicationA Short Leave Application is used to request leave for a set number of hours within the same working day — for example leaving work briefly or arriving after the shift starts — instead of applying for a full day of leave.
Opening Short Leave Application
From the Human Resources home screen, under the Leaves card, click Short Leave Application.
Short leave application list
This screen shows all previous applications with their status (Approved, Open, Rejected, Cancelled). To create a new one, click New.
Opening the full form
In the New Short Leave Application window, click Edit in full page to open the complete form and finish entering the application details.
Filling in the request details
In the Short Leave Application form, enter the Employee and the Employee Name will appear automatically. Then select the Leave Type. Next, set From Time and To Time, and the system will calculate the Duration (Hours) automatically from the times entered. Finally, check the Posting Date and Leave Date, then click Save.
Key fields on this screen
| Employee / Employee Name | The employee the application belongs to; their full name appears automatically once the employee is selected. |
| Leave Type | The type of short leave being requested. |
| From Time / To Time | The start and end times of the short leave within the working day. |
| Duration (Hours) | The duration of the leave in hours, calculated automatically by the system from the start and end times. |
| Status | The status of the application, such as Open, Approved, Rejected or Cancelled. |
Leave Application (a full day or more)
Leave ApplicationA Leave Application is used to request a full day of leave or several consecutive days. The application draws on the employee's allocated leave balance (Leave Allocation), and the leave days are deducted from that balance when the application is approved, according to the system settings.
Opening Leave Application
From the Human Resources home screen, under the Leaves card, click Leave Application.
Filling in the request details
In the New Leave Application form, select the Employee, then set From Date and To
Date for the period required. Next, select the appropriate Leave Type, and Leave
Balance Before Application will appear automatically — this is the leave balance
available to the employee before the application is
submitted.
Example:
Employee: HR-EMP-00003 (Hououin Kyouma)
From
Date / To
Date: 31-08-2026
Leave Type: Annual Leave
Leave Balance Before
Application:
5.500
Once you have confirmed the details are correct, click Save.
Key fields on this screen
| Employee | The employee submitting the application. |
| Leave Type | The type of leave being requested. |
| Leave Balance Before Application | The employee's available balance for the selected leave type before this application is submitted; it is displayed automatically. |
| From Date / To Date | The start and end dates of the leave requested, whether for a single day or several consecutive days. |
Creating the User Account and Employee Record
In MaxFlow, User and Employee are two linked records: User is the system login account and the permissions granted to that user, whileEmployee is the employee's HR record, containing details such as department, designation and joining date. You create the User first, then create the Employee record and link it to the user account.
User Account ≠ Employee Record — these are two entirely different records. The approach recommended in this guide: Create User (step 6.1) → Create Employee (step 6.2) → Link User to Employee (within the same employee form). Employees who do not need to log in to the system or the app do not require a User account; creating an Employee record for them is enough.
Creating a User Account
Create UserStart by creating the User account first, then use it later to link to the Employee record.
Step 6.1.1 — Opening User
From the main menu, go to Users and Permissions, then select Users to reach the user account management screen.
User list
This screen shows all user accounts registered in the system, along with each account's status and user type. To add a new user, click New.
Opening the full form
Click Edit in full page to open the complete user form and finish configuring it.
Step 6.1.2 — Entering the user details
In the full form, start with the user's basic details: Email — the user's email
address; First Name; Last Name. Note: either the Email or the Username is used
as the login credential, depending on the account settings.
Click
Save.
After saving, continue with the remaining settings: Roles and
Password, as shown below.
User permissions — Roles
Scrolling down brings up the ROLES section, where you set the roles and permissions granted to the user within the system. Select the roles that match the user's responsibilities — for example Employee for a regular staff member, or HR Manager and Leave Approver for users with administrative duties. Note: Add All Roles selects every role at once, while Clear All Roles clears all selections.
Reviewing the permissions of a specific role
To see exactly what a given role allows, click the role name itself in the roles list — HR User, for example. A window opens showing a detailed table of every Document Type and the permissions this role holds over it: Read, Write, Create, Delete, Submit, Cancel, Amend.
An employee's permissions over their own data are granted automatically by the system when the employee record is created and linked to their user account — there is no need to configure them manually.
Completing the settings — password
Keep scrolling down to complete the rest of the user settings. The form includes further sections such as MORE INFORMATION for optional personal details, and CHANGE PASSWORD for setting or changing the password.
Key fields on this screen
| Email / Username | The credentials used to access the system, depending on the account settings. |
| First Name / Last Name | The user's name as it will appear in the system and in reports. |
| Change Password › Set New Password | Used to set a new password for this user, either manually by the administrator or later by the user themselves. |
The Administrator sets the user's initial password from the CHANGE PASSWORD section of their account, then shares the credentials with the employee. Once signed in, the employee can change the password and set one of their own.
Creating the Employee Record and Linking It to the User
Create Employee + Link UserOnce the User account exists, you create the Employee record and link it to that same user account. The employee record holds the core HR details, such as department, designation and joining date.
Make sure the Date of Joining is entered correctly and accurately, because the system relies on it later to calculate leave entitlement and accrual, as well as payroll and any entitlements tied to length of service.
Opening Employee
From the Human Resources screen, under the Employee card, select Employee to reach the employee record management screen and create a new record.
Creating a new employee
The Employee screen lists the employees currently registered. To create a new employee record, click New.
Opening the full employee form
When the New Employee window opens, click Edit in full page to switch to the complete form and enter all the employee's details.
The full employee form
In the full form, enter the employee's basic details: First Name; Gender; Date of
Birth; Date of Joining — the actual joining date, entered according to the day
the employee started work.
Do not forget: Salary Currency — the currency
of the salary, and Employment Type — the type of employment (for example:
Full-time).
Opening the user link section (ERPMAX USER)
Continue setting up the employee record until you reach the ERPMAX USER section, which is where the employee is linked to the User account created in step 6.1.
Selecting the user
In the User ID field, start typing the user's email address, then pick the account you need from the suggestions.
The user's permissions over their own data
By default, as soon as the user is linked to the employee record, the Create User
Permission option is enabled automatically — restricting that user's access to
their own data only, not that of other employees.
For anyone who needs to
see all employees' data, such as a line manager or an HR officer, this option
can be switched off manually.
Setting the department, designation and branch
In the DEPARTMENT AND GRADE section, select the Department and Designation
created earlier in Step 3, along with the Branch this
employee belongs to.
If the Reports To field is filled in, it is used
automatically to build the company's organizational chart — it defines who this
employee's line manager is within the company structure.
Key fields on this screen
| First Name / Gender / Date of Birth | The core details required to create the employee record. |
| Date of Joining | The actual start date of employment, entered according to the joining date. |
| Salary Currency | The currency in which the employee's salary is calculated. |
| Employment Type | The type of employment, such as Full-time or Part-time. |
| Department / Designation / Branch | Selected from the lists set up earlier in Step 3. |
| Reports To | The employee's line manager; when filled in, it is used automatically to build the company's organizational chart. |
| ERPMAX USER › User ID | The user account linked to the employee record, selected from the User accounts created earlier. |
| Create User Permission | Enabled by default to restrict the user's access to their own data only — switch it off for managers and anyone who needs to see all employees' data. |
Attendance and Leaves
Attendance and Leave DetailsThis section links the employee directly to the attendance and leave settings prepared in the previous steps.
Filling in the Attendance and Leave Details section
Leave Policy — the leave policy that applies to this employee. Holiday List —
their holiday list. Default Shift — their default shift. Leave Approver — the
person authorized to approve their leave applications.
Setup Device —
once enabled, the system records the Device ID the employee uses to register
attendance, so that afterwards they can only check in from that same
device.
No Punch — enabled for employees who do not need to clock in and
out with a biometric punch, such as managers.
Day Start Time Defines the start of the accounting day for attendance
purposes. If every shift in the company ends within the same calendar day (for example, the
last shift ends at midnight), this field does not need to be filled in.
If an employee's shift runs past midnight into the following day — an evening shift from 6
pm to 2 am, for instance — you need to set Day Start Time to a time that falls between the
end of that shift and the start of the next one, such as 4 am, so the system can assign that
employee's attendance to the correct day.
Salary Details
Salary DetailsThe Salary Details section defines how the employee receives their salary.
Choosing how the salary is paid
The Salary Mode field offers three options: Bank — requires the bank name and bank account number; Cash or Cheque — require no additional details.
Optional Additional Sections
CustomizableThe rest of the employee form contains further optional sections that can be completed as your company requires. The fields they display can also be customized (adding or removing fields) to suit each company's requirements.
The optional sections available
Health Insurance. Contact Details. Personal Bio. Signature. Personal Details — additional personal information. Educational Qualification. Previous Work Experience. History In Company — a historical record of the employee's movements within the company.
The employee record after saving
Once you have filled in the core information and any secondary sections you want
to add, click Save.
The record shows the status Active, along with a
dashboard displaying its key data, such as attendance and leave balances.
Tracking Attendance
The Attendance section provides the tools needed to record and monitor employee attendance, review daily check-in activity, handle attendance correction requests, follow working and break statuses, and configure the approved attendance recording methods.
Employee Checkin
Check-in and check-out logEmployee Checkin is the record that holds employees' check-in and check-out activity. Checkin records are created automatically through the attendance recording methods enabled in the system.
Administrators can use this log to review employee activity and verify check-in and check-out times and the method used, and can also edit an existing record or create one manually when needed.
Opening Employee Checkin
From the Workspace, open Human Resources, then under the Attendance section select Employee Checkin to reach the check-in and check-out log.
Employee Checkin list
This screen shows all Checkin records captured through any of the four methods (NFC, QR, Location, Bluetooth), along with the employee name, the log type (IN/OUT) and the time recorded.
Checkin record details
Any record can be opened to review the details of the attendance entry captured for the employee. The record shows the Employee, the Log Type and how it was captured (Punch Type), along with the Time and the Location / Device ID. There is also a Skip Auto Attendance option to exclude the record from automatic processing.
When this option is enabled, the system ignores this punch when calculating attendance and absence automatically, which may affect working hours and the data used for payroll.
Creating a new record
Administrators can review or edit attendance activity, or create a new Checkin record manually by clicking New.
Filling in the new record
After clicking New, select the Employee, set the Log Type and the Time, then set the Punch Type and the Location / Device ID where needed.
Employee Checkin record fields
| Employee | Selecting the employee the attendance entry belongs to. |
| Log Type | Setting the type of entry: IN for a check-in, andOUT for a check-out. |
| Punch Type | Setting how the attendance entry was captured, such as Geo or NFC or QR or Beacon (Bluetooth). |
| Time | Setting the date and time of the attendance entry. |
| Location / Device ID | Setting the location or the device ID used to capture the entry, depending on the capture method selected. |
Employee Log Request
Requesting an attendance correctionEmployee Log Request is used to request the addition or correction of a check-in or check-out entry — for example when an employee forgets to record an entry or the recorded details are wrong.
The request can be submitted through the system or the employee app, and is then reviewed by the responsible officer. When first created, the request has the status Draft; once the details have been reviewed and the request approved by clicking Submit, the status changes to Submitted.
Opening Employee Log Request
From the Attendance section, select Employee Log Request to reach the list of requests to correct or complete attendance entries.
Employee Log Request list
The screen shows attendance correction requests, with the details of each request and its current status, such as Draft or Submitted.
Creating an Employee Log Request
New RequestAn employee can create a request to add or correct an attendance entry by clicking New and filling in the required details.
Clicking New
From the Employee Log Request list, the employee starts by clicking New to create a new request.
Filling in the request from the quick window
A quick window appears for entering the request details: Employee, Log Type, Time, Reason and Comments. You can also click Edit in full page to open the form as a full page and complete it there instead of in the quick window.
Filling in the full-page form and saving
Once the form is open as a full page, fill in the required fields, then click Save.
Fields for creating an Employee Log Request
| Employee | Selecting the employee the correction or addition request relates to. |
| Log Type | Setting the type of entry required: IN for a check-in or OUT for a check-out. |
| Time | Setting the date and time the attendance entry should be recorded at. |
| Reason | Explaining why the addition or correction is being requested. |
| Comments | Adding any further details or notes relating to the request. |
Once the details are filled in, the request is saved with the status Draft. The responsible or authorized person then reviews it and clicks Submit to approve it and move its status to Submitted.
Approval of a Draft request by the responsible or authorized person
When a request is in Draft status, the responsible or authorized person reviews its details, then clicks Submit to approve it and move its status to Submitted.
Details of an approved (Submitted) request
Opening the request lets you review the details of the attendance entry requested, including the Employee, Log Type, Time, Reason and Comments. The Location the request was submitted from is shown where that data is available, and the map displays the employee's geographical position at the time of submission.
Additional fields in Employee Log Request
| Location | Shows the location the Employee Log Request was submitted from, where location data is available. |
This process makes it possible to correct or complete attendance entries in exceptional cases, with the request documented and reviewed by the responsible officer rather than the attendance record being edited directly.
My Attendance
Employee attendance reportMy Attendance lets an employee review their own daily attendance record, including attendance status, check-in and check-out entries, and the working hours recorded for each day.
Opening My Attendance
From the Attendance section, select My Attendance to open the employee's own attendance report.
The My Attendance report
The report displays the attendance record day by day, showing the attendance status, the check-in and check-out entries, and the working hours recorded for each day.
Key fields in the My Attendance report
| Day | The date of the day the attendance record relates to. |
| Status | The attendance status for that day: OK when the attendance data is complete, Incomplete when the data is incomplete — for example an IN entry with no matching OUT, andAbsent when no attendance was recorded, andHoliday when the day is classified as a holiday under the system settings. |
| Log Type | The type of attendance entry: IN for a check-in or OUT for a check-out. |
| Time | The time of the check-in or check-out entry. |
| Working hours (Regular Hours) | The number of working hours defined by the shift settings. |
| Difference (Diff) | The difference between the working hours required and the hours the employee actually worked. |
An Incomplete status means the attendance data for that day is not complete — an IN entry with no OUT entry, for instance. In that case the employee can submit an Employee Log Request (see section 7.2) to correct or complete the entry through the approved process. A supervisor can also make the change directly through Employee Checkin (see section 7.1) where needed.
Attendance Status Summary
Attendance status summaryThe Attendance Status Summary report lets an administrator review employees' attendance status over a defined period and identify the cases that need following up.
Opening Attendance Status Summary
From the Attendance section, select Attendance Status Summary to open the employee attendance status summary report.
Setting the period and reviewing attendance statuses
Set the period you need using From Date and To Date; results can be narrowed further by Department or Branch. Once the filters are applied, the report displays employees' attendance status over the selected period. Colours make the statuses easy to read: green indicates that the employee's attendance is normal and needs no review, while red indicates a case that requires checking and follow-up.
Reviewing an employee's status in detail
When a case needs reviewing, click the employee's name to open their Attendance Status report. It shows the employee's attendance and working details, including attendance statuses, check-in and check-out entries and working hours, which helps identify the cause and follow it up.
Displaying the attendance summary
Show Summary can be enabled to display attendance data in condensed form instead of the daily detail. The summary includes indicators such as Month Days, Working Hours, Regular Hours, Acc Daily Leaves, Bad Records and Total Breaks.
Filters in the Attendance Status Summary report
| From Date / To Date | Sets the period over which attendance is to be reviewed. |
| Department | Selects the department whose employees' data is to be displayed. |
| Branch | Selects the branch whose employees' data is to be displayed. |
| Show Summary | Displays attendance data in condensed form instead of the daily detail. |
Employee Break
Break logEmployee Break lets an administrator track employees' break periods, including when a break started and when the employee returned to work, and review the recorded entries and their details.
Opening Employee Break
From the Attendance section, select Employee Break to open the employee break records.
Employee Break record details
Opening a record lets you review the break entry, including the Employee, Log Type, Time and Location / Device ID.
BREAK IN records the start of a break, while BREAK OUT records its end and the return to work.
Employee Break fields
| Employee / Employee Name | Selecting the employee the break entry relates to. |
| Log Type | Setting the type of break entry: BREAK IN for the start of the break, andBREAK OUT for its end and the return to work. |
| Time | Setting the date and time of the break entry. |
| Location / Device ID | Setting the location or device ID linked to the entry. |
Attendance Clock
Approved attendance capture pointsAttendance Clock is used to manage the approved attendance capture points and settings in the system, according to the capture method and the location or device linked to it.
The system supports four methods of recording attendance, and each is configured according to its own requirements and settings. The actual setup differs from one method to another, so the configuration and integration of each method is carried out by the MaxFlow team to ensure it works correctly and that attendance entries reach the attendance system.
Opening Attendance Clock
From the Attendance section, select Attendance Clock to view the approved attendance capture points across the four methods (NFC, QR, Location, Bluetooth).
Attendance Clock list
This screen shows the Attendance Clock records added to the system, which serve as the approved points for capturing attendance entries.
Attendance
Attendance status and working data recordAttendance is used to record and track employees' attendance status over a defined period. The attendance data and working hours recorded are used in working-time and payroll processes, according to the system settings.
Opening Attendance
From the Attendance section, select Attendance to reach the employee attendance status records across different periods.
Attendance record list
This screen shows the Attendance records for all employees, with filtering available by Employee, Employee Name, Leave Type and other fields. The Status column shows each record's status, such as Present, Absent, On Leave and Cancelled.
Example of a Present status
Opening a record with the status Present displays the employee's attendance data, including Employee, Attendance Date, Employee Name, Company, Working Hours, Department, Status and Shift, alongside the Employee Checkin records linked to that day.
When an employee is recorded as Present, it means they are counted as having attended that working day. The Present status is tied to the Employee Checkin entries (see section 7.1) recorded for that day: at least two entries must exist, one of type IN and one of type OUT, for the working hours to be calculated according to the shift settings.
Attendance statuses in the system
| Present | The employee is at work. |
| Absent | The employee is not at work and no leave has been recorded for them. |
| On Leave | The employee is on approved leave. |
| Half Day | The employee is credited with half a day. |
| Holiday | The day is classified as a holiday under the shift settings. |
Monthly Attendance Sheet
Monthly attendance sheetThe Monthly Attendance Sheet displays employees' attendance record for a given month, allowing an administrator to review attendance and absence for the month in a single report.
The Monthly Attendance Sheet report
After setting the Month and Year, you can select a specific Employee or leave the field empty to display data for all employees. The report shows each employee's daily attendance record within the selected month.
Loan Management (Loans)
The system manages internal employee loans in three successive stages: defining the loan type (Loan Type) and its repayment rules, submitting and approving the loan application (Loan Application), then creating the actual loan and its monthly repayment schedule (Loan).
Creating a Loan Type
Loan TypeThe Loan Type is used to define a loan and its core rules, such as the maximum loan amount, the interest rate (if any) and the repayment terms. The loan type is then reused whenever an employee submits a new loan application.
Opening Loan Type
From the Human Resources home screen, under the Loans card, click Loan Type.
Loan type list
This screen shows the loan types currently defined along with their status (Enabled or Disabled). To add a new type, click New.
Entering the loan type details
Enter the core details of the loan type:
Loan Name — the name of the loan type,
Maximum Loan Amount — the maximum loan amount, andRate
of Interest (%) Yearly — the annual interest rate. You can also add
a Description to give a short description of the loan type.
In the APP DEFAULTSsection, set
Default Repayment Type — the default repayment method for this
loan type. The repayment options are explained in detail in
section 8.1.1 and
section 8.1.2.
Enable Skip Reason Step (App) if you want to skip the step of
entering a reason for the loan request in the app.
Key fields on this screen
| Loan Name | The name of the loan type as it will appear when selected in a loan application. |
| Maximum Loan Amount | The maximum amount that may be requested. |
| Rate of Interest (%) Yearly | The annual interest rate applied to this loan type. |
| Disabled | When enabled, the loan type is disabled and is no longer available for use when creating a new loan. |
| Description | An optional short description explaining the nature of the loan type. |
| Default Repayment Type | The default repayment method for this loan type. |
| Skip Reason Step (App) | When enabled, the step of entering a reason for the loan request is skipped at submission |
Repayment with a fixed amount per period
Repay Fixed Amount per PeriodWhen Repay Fixed Amount per Period is selected as the default repayment method, a fixed repayment amount is set for each period, and the Default Repayment Amount field appears for entering the instalment value.
Setting the fixed instalment
The Default Repayment Amount field appears — the fixed monthly instalment to be repaid each period, for example 50.00.
Repayment over a set number of periods
Repay Over Number of PeriodsWhen Repay Over Number of Periods is selected, the number of repayment months is set, and the system calculates the instalment from the loan amount and the number of periods instead of the instalment being entered directly.
Setting the number of repayment periods
The Default Number of Months field appears — the default number of months the loan is spread over, for example 5 months.
Once all settings are complete and the required details entered, click Save to save the loan type.
Submitting a Loan Application
Loan ApplicationOnce the loan type is set up, an employee can submit a loan application through the system or the employee app, specifying the loan type, the amount requested and the rest of the application details. After the application is completed and approved in line with the system settings, the actual Loan can be created.
- Creating a Loan Application simply records a request for a loan; it has no financial effect on the employee's accounts.
- The actual financial effect (the loan becoming due and its accounting entry) only begins once the application is approved and the actual Loan record is created from it.
Opening Loan Application
From the Human Resources home screen, under the Loans card, click Loan Application.
Loan application list
This screen shows previous loan applications with their statuses. To create a new application, click New.
Filling in the request details
Select Applicant Type — the type of applicant
(Employee), then select
Applicant, and Applicant Name will appear
automatically.
In the LOAN INFO, select Loan Type, then enter
Loan Amount — the amount requested, andRequired by
Date — the date by which the employee needs the loan.
In the REPAYMENT INFO, the repayment details appear
automatically according to the settings defined earlier in Loan
Type, including Repayment
Method — the repayment method, andRate of Interest
— the interest rate, both of which can be adjusted if needed. If these details
were not defined in Loan Type , they must be entered in
Loan Application
.
Once all the required details are complete, click Save to save
the loan application.
Approval of the loan application by the authorized officer
Before clicking Submit, the approving officer changes the Status field from Open to Approved to approve the application, then clicks Submit.
Confirming the approval
A Permanently Submit? confirmation window appears. Click Yes to complete the approval.
Key fields on this screen
| Applicant Type / Applicant | The type of applicant (usually Employee) and the employee the application belongs to. |
| Loan Type | The type of loan requested, chosen from the types set up in step 8.1 |
| Loan Amount | The total amount requested as a loan. |
| Required by Date | The date by which the employee needs the loan. |
| Repayment Method | The loan repayment method; it is filled in automatically from the loan type and can be adjusted. |
| Status | The status of the application, which must be changed to Approved before the application is finally submitted. |
The application status must be set to Approved before clicking Submit — if the status is still Open at submission, the option to create the actual loan will not appear later.
Creating the Loan and Repayment Schedule
LoanOnce the loan application is approved, the actual Loan record is created directly from within the application itself, containing the detailed repayment schedule and the related accounting details.
Unlike the Loan Application, which carries no financial effect, creating and submitting the Loan record at this step is a genuine financial action: it is linked directly to the company's accounts and creates a repayment schedule that is binding on the employee.
Creating the loan from the approved application
Once the application is approved (Submitted), a Create Loan button appears at the top of the page. Click it to create the actual loan record.
Reviewing the loan details
The applicant details and loan type carry over automatically. Enable Repay from
Salary if the instalments are to be repaid out of the employee's
salary.
In the LOAN DETAILS section, review Loan Amount, Rate of
Interest, Repayment Start Date, Repayment Method, Repayment Period in Months —
the number of instalment months — and Monthly Repayment Amount.
In the
ACCOUNT INFOsection, set Mode of
Payment — how the loan is paid out, andPayment
Account — the account the loan amount will be disbursed from to the
employee. Then review Loan Account — the accounting ledger
where the loan due from the employee is recorded, andInterest Income
Account — the account where the interest income generated by the
loan is recorded.
Click Save.
Submitting the loan
After saving, the system generates the REPAYMENT SCHEDULE automatically, showing
the details of each monthly instalment, including the payment date, principal,
interest, total payment and outstanding balance.
Review the schedule,
then click Submit to approve the loan.
Key fields on this screen
| Repay from Salary | When enabled, the loan instalment is included in payroll and deducted from the employee's salary. |
| Repayment Start Date | The date the first instalment falls due. |
| Repayment Period in Months | The number of months the loan is spread over. |
| Mode of Payment / Payment Account | The payment method and the account used in the financial processing of the loan. |
| Loan Account / Interest Income Account | The accounting ledgers linked to the loan and to the interest income on it. |
| Repayment Schedule | An automatically generated schedule showing the details of each monthly instalment through to full repayment. |
Loan Application Summary Report
Loan Application SummaryThe Loan Application Summary report supports tracking and analysing loan applications within a defined period, with results filterable by Status — Draft, Submitted and others — which makes it easy to find applications quickly and review their status.
Opening the report
From the Human Resources home screen, under the Loans card, click Loan Application Summary.
The Loan Application Summary report
The report displays loan applications within a defined period, with results filterable by Status and the details and amounts of each application available for review. Once an application has been converted into an actual loan, the Loan, Loan Amount and Monthly Repayment Amount details also appear.
Payroll Management (Payroll)
The Payroll section provides the tools needed to prepare employee salaries: from defining the Salary Components that represent what is added to an employee's pay (Earning) and what is deducted from it (Deduction), through grouping those components into a Salary Structure and assigning it to each employee (Salary Structure Assignment), defining the Payroll Period and processing attendance records, and finally creating the payroll run itself (Payroll Entry) and generating, approving and paying the Salary Slips.
Creating Salary Components
Salary ComponentA Salary Component is used to define an element of an employee's salary, its type and how it is calculated. Salary components fall into two main types:
Amounts added to the employee's entitlements, such as basic salary, allowances and incentives.
Amounts deducted from the employee's entitlements, such as deductions for absence or lateness.
Opening Salary Component
From the Workspace, open Human Resources, then under the Payroll card select Salary Component to reach the list of salary components.
Salary component list
The Salary Component page shows the components already created, along with their status (Enabled). Click New to create a new component.
Example 1: Fixed Salary (Earning)
We will use the component Fixed Salary to show how to create a salary component based on the employee's basic salary. From the New Salary Componentpage, enter the core details:
- Name — the component name, for example Fixed Salary.
- Abbr — the abbreviation used to identify the component,
such as
Fixed Salaryin this example, which can be used later when writing Conditions and Formulas for other components. - Type — select Earning to indicate that the component's value is added to the employee's entitlements.
- Description — used to add a short description explaining the nature or purpose of the salary component.
- Accounts — this section is used to set the financial account linked to the salary component for each company. The account linked to the company appears automatically in the table; to add an account for another company, click Add Row and enter the company and account details.
- Condition and Formula — this section is used to define when the salary component applies and how its value is calculated.
- Condition — this field is used to add a condition defining the cases in which the salary component applies.
- Amount based on formula — this option determines whether the component's value is entered as a fixed amount or calculated using a formula.
When Amount based on formula is off, the component's value is entered directly in the Amount field as a fixed figure — a transport allowance of 100, for example. When it is on, the value is calculated using the formula entered in the Formula field. Since we want the Fixed Salary component to equal the employee's basic salary, we will enable this option in this example.
Formula — once Amount based on formula is enabled, enter the following in the Formula field:
base
refers to base the basic salary used as the base value in
calculating the component. When base is used in a formula, the
system takes the basic salary figure linked to the salary being calculated. That
figure is set per employee when they are linked to a Salary Structure through a
Salary Structure Assignment, as explained in detail in section 9.3.
Settings summary — Example 1: Fixed Salary
| Name | Fixed Salary |
| Abbr | Fixed Salary |
| Type | Earning |
| Amount based on formula | Enabled |
| Formula | base |
Additional options: A set of options appears on the side of the Salary Component form controlling how the component is calculated or handled. The table below explains what each option does.
Additional options in Salary Component
| Depends on Payment Days | Determines whether the component's value depends on the Payment Days calculated for the employee, so that its value changes when there are days that do not count as paid days. |
| Is Tax Applicable | Determines whether the component is subject to tax when the salary is calculated. |
| Round to the Nearest Integer | When enabled, the component's value is rounded to the nearest whole number. |
| Statistical Component | Marks the component as used for calculation or statistical purposes without adding it to total Earnings or Deductions, while its value can still be used in calculating other components. |
| Do Not Include in Total | When enabled, the component's value is excluded from the total Earnings or Deductions calculated for the salary. |
| Disabled | When enabled, the component is disabled and is not used as an active component when calculating payroll. |
Some of the options shown in the form differ according to the Type selected. When Deduction is selected, Variable Based On Taxable Salary and Exempted from Income Tax appear instead of Is Tax Applicable:
- Variable Based On Taxable Salary: Determines whether the deduction's value depends on the Taxable Salary.
- Exempted from Income Tax: Determines whether the deduction amount is excluded from taxable income, according to the income tax settings in the system.
can be used within other formulas — such as base can be used within
other formulas — for example base * 0.1— to calculate a component worth
10% of the basic salary.
Example 2: Hourly Rate (Earning)
We repeat the same steps for entering Name
andAbbr
andDescription and select Type: Earning as in
the previous example, then enable Amount based on formula and
enter the following in
Formula:
total_regular_hours * variable
where total_regular_hours is the total working hours calculated,
and
variable is the hourly rate used in the calculation, so the system
multiplies the number of hours by the hourly rate to produce the component's
value in the salary. The variable figure is set per employee
through the Salary Structure Assignment, as explained in section 9.3.
Settings summary — Example 2: Hourly Rate
| Type | Earning |
| Amount based on formula | Enabled |
| Formula | total_regular_hours * variable |
Example 3: Absence Deduction (Deduction)
We create a new component the same way and select Type:
Deduction, then enable Amount based on formula and enter the
following in
Formula:
(base / 30) * absent_days
as a worked example for calculating an absence deduction under a policy that
treats the month as 30 days, so the deduction is based on the basic salary and
the number of days absent. Alternatively, you can leave Amount based on formula
off and enter a fixed figure in Amount where needed, exactly as described above.
Settings summary — Example 3: Absence Deduction
| Type | Deduction |
| Amount based on formula | Enabled |
| Formula | (base / 30) * absent_days |
Once the required details are entered, click Save to save the Salary Component. Once the salary components you need have been created, they can be used later when creating a Salary Structure and selected within the Earnings and Deductions tables.
Creating the Salary Structure
Salary StructureThe Salary Structure is used to group the salary components (Earnings and Deductions) previously created in Salary Component and define how they are calculated within a single salary structure. You can create more than one Salary Structure to suit different groups of employees and how their pay is calculated — for example one structure for fixed salaries and another for employees paid according to hours worked.
Opening Salary Structure
From the Human Resources home screen, under the Payroll card, click Salary Structure, then New to create a new salary structure.
Example 1: Fixed salary structure
Enter a Name for the structure, select the
Company and a Letter Head if one exists, set Is
Active: Yes, and set the Payroll
Frequency such as Monthly (Fortnightly, Bimonthly, Weekly and Daily
are also available, depending on how the salary is calculated).
In the EARNING Click Add Row and select the Fixed Salary
component created earlier; its Formula appears automatically (base).
In the DEDUCTION Click Add Row and select the Absence Deduction
component; its Formula appears automatically ((base / 30) * absent_days).
And in the ACCOUNT section, set the Mode of
Payment such as Bank Draft, and thePayment Account
the financial account used to pay the salary.
Submitting the structure
After clicking Save The structure's status becomes Draft. Click Submit to approve the salary structure.
Confirming the approval
A confirmation box appears: Permanently Submit; click Yes to confirm approval of the structure. Once approved, its status becomes Submitted, and it can no longer be edited directly.
Example 2: A salary structure based on hours worked
You can create another Salary Structure for employees paid according to hours
worked. In the EARNING table we select the Hourly Rate
component, and its Formula appears automatically (total_regular_hours *
variable). In this example,
variable represents the hourly rate used in the calculation, while
its actual value is set for each employee later when the structure is assigned
to them, as explained in
section 9.3. The
DEDUCTION table is left empty in this example; further
components can be added to it later according to what each structure needs.
Once the details are complete, click Save and then Submit to approve the
structure.
Note: The salary frequency can still be Monthly even for an
employee paid by the hour; in that case the total entitlement for the month is
calculated from the number of hours recorded and the hourly rate.
Assigning the Salary Structure to an Employee
Salary Structure AssignmentA Salary Structure Assignment links a Salary Structure to a specific employee, sets the date from which the structure applies to them, and defines the actual values (such as Base and Variable) the structure relies on when calculating that particular employee's pay.
Opening Salary Structure Assignment
From the Human Resources home screen, under the Payroll card, click Salary Structure Assignment.
Salary structure assignment list
The page shows the salary structure assignments already created, along with their status. Click New to create a new assignment.
Example 1: An employee on a fixed salary
From the Salary Structure Assignment page, click New, then enter the following details:
- Employee — select the employee the salary structure is to be assigned to. Once the employee is selected, the system fills in some of their related details automatically (such as Designation, Department, Company and Salary Currency).
- Salary Structure — select the salary structure to be applied to the employee.
- From Date — enter the date from which the salary structure starts to apply to the employee.
- Income Tax Slab — used to set the income tax bracket that applies to the employee when tax is calculated on their salary, according to the income tax settings configured in the system, where applicable.
Once the Salary Structure is selected, enter the values the structure relies on when calculating the employee's pay:
- Base — the employee's basic salary.
- Variable — the hourly rate, calculated using the following
formula:
Variable = Base ÷ 30 ÷ Shift Hours
In this example, the employee's basic salary was entered in the Base field as 3,000.00.
Example 1 summary — fixed salary
| Employee | Mohammad Z. Taweel |
| Salary Structure | Fixed Salary |
| Base | 3,000.00 |
| Variable | 12.50 |
Submitting the assignment
After clicking Save The record's status becomes Draft. Click Submit to move on to the approval step.
Confirming the approval
A confirmation box appears: Permanently Submit; click Yes to confirm approval of the assignment.
After approval
The record's status becomes Submitted, and a Cancel option appears for cancelling the assignment where needed.
Example 2: An employee paid by the hour
The employee Saba Njoum is assigned to the Hourly-Paid
Employees structure created in section 9.2,
which uses the Hourly Rate component with the formula
total_regular_hours * variable (as in
section 9.1). Since this formula does not use
base, we left Base at its default value (0.00) and
entered the hourly rate in Variable (14.00).
When the Salary Slip is calculated for this employee, the system multiplies the
working hours recorded (total_regular_hours) by the value of
variable = 14 to calculate her pay, with no reference to the Base
value at all.
Example 2 summary — hourly pay
| Employee | Saba Njoum |
| Salary Structure | Hourly-Paid Employees |
| Base | 0.00 (not used in this structure) |
| Variable | 14.00 |
When an employee's salary changes, whether up or down, there is no need to cancel the previous Salary Structure Assignment. You can create a new Assignment with the From Date set to the effective date of the new salary, selecting the appropriate Salary Structure. The system then keeps the earlier records and applies the most recent Salary Structure Assignment according to the effective date, which makes it easy to track how an employee's salary has changed over time.
Creating the Payroll Period
Payroll PeriodThe Payroll Period defines the time frame over which employee salaries are calculated, from the start date of the period to its end date.
Opening Payroll Period
From the Human Resources home screen, under the Payroll card, click Payroll Period.
Payroll period list
The page shows the payroll periods already created. Click New to create a new period.
Creating a Payroll Period
From the Payroll Period page, click New, then enter the following details:
Name — enter a clear name for the period, for example
Payroll 2026.
Company — filled in automatically with the current company.
Start Date — the start date of the period salaries will be
calculated for.
End Date — the end date of the period.
In this example, the period covers the full year: Start Date 01-01-2026 and End
Date 31-12-2026.
Once the required details are entered, click Save to save the
Payroll Period.
Settings summary — Payroll Period
| Name | Payroll 2026 |
| Start Date | 01-01-2026 |
| End Date | 31-12-2026 |
Processing Attendance Before Calculating Salaries
Auto AttendanceBefore calculating salaries, make sure the check-in and check-out records (Employee Checkin) have been processed and converted into actual attendance (Attendance) through Auto Attendance, so that the payroll steps that follow are based on complete and accurate attendance data.
Opening Shift Type
From the Human Resources home screen, under the Shift Management card (separate from the Payroll card), click Shift Type.
Shift type list
Open the Shift Type linked to the employees whose salaries you want to calculate, for example Morning Shift.
Updating the processing dates in AUTO ATTENDANCE SETTINGS
In the AUTO ATTENDANCE SETTINGS section of the Shift Type page, the following two settings define the period the system uses to calculate attendance for the employees linked to this Shift Type:
Defines the date after which the system starts treating punch records as attendance. We set it one day before the start of the period we need, to make sure every punch is captured; in our example we use it to calculate attendance for August.
Defines the last date of punch records taken into account when calculating attendance, and so marks the end of the period to be processed.
Example: calculating August's payroll
If the period you want to process attendance and payroll for is 01/08/2026 – 31/08/2026, the dates can be set as follows:
| Process Attendance After | 31-07-2026 |
| Last Sync of Checkin | 01-09-2026 |
This setup defines the range of punch records the system uses when processing August's attendance, giving it enough coverage to read every check-in and check-out belonging to the period before attendance is calculated.
Once the dates are entered, click Save, then use the Mark Auto Attendance option that appears after saving. This option processes the Employee Checkin records and converts them into Attendance records according to this Shift Type's settings.
The two fields inside Shift Type
Where the two fields sit Process Attendance After and Last Sync of Checkin within the AUTO ATTENDANCE SETTINGS section of the Shift Type page.
Confirming attendance processing
After clicking Mark Auto Attendance, a confirmation message appears stating that attendance has been processed from the Employee Checkin records.
Example summary — calculating August's payroll
| The payroll period required | 01-08-2026 ← 31-08-2026 |
| Process Attendance After | 31-07-2026 |
| Last Sync of Checkin | 01-09-2026 |
The existence of an Employee Checkin record does not by itself mean attendance has been calculated. Punch records are processed and Attendance is actually created through Auto Attendance, and only then can the attendance data be relied on in the payroll steps.
